Project Details

Project Background

Yamato Transport U.S.A. was undergoing a modernization initiative to adopt CargoWise, a leading global logistics execution platform. The goal was to streamline end‑to‑end operational workflows, unify data across departments, and eliminate several fragmented legacy systems.

A key dependency for digital transformation was the ability to integrate CargoWise to Yamato’s existing SAP accounting environment. Without this connection, billing processes would remain tied to legacy tools that were increasingly difficult to maintain, preventing full migration to the new platform.

The company required a seamless, accurate, and automated exchange of invoice data between CargoWise and SAP—without disrupting ongoing operations. This is where Calsoft Systems was selected to architect and deliver a scalable integration solution.

Project Title

CargoWise and SAP Interface Development

Objectives

Calsoft and Yamato Transport U.S.A. collaborated on the following project goals:

  1. Enable automated invoice data transfer from CargoWise to SAP with minimal manual intervention.
  2. Retire legacy billing systems that were costly to maintain and prone to errors.
  3. Improve accounting accuracy by reducing data duplication and manual keying.
  4. Increase operational visibility across freight forwarding and customs clearance workflows.
  5. Deliver a scalable integration framework that would support future growth and additional data exchange points.

Approach & Implementation

Calsoft engaged early in the process, beginning with a deep‑dive assessment of Yamato’s requirements, existing workflows, and accounting structures. Leveraging extensive experience with CargoWise’s eAdapter technology,

Calsoft:

  • Conducted business and technical workshops with operations and IT teams.
  • Developed functional specifications outlining data mapping, transformation rules, and exception handling procedures.
  • Provided guidance and oversight to Yamato’s internal development resources.
  • Development/programming of the mapping and interface with SAP.
  • Built a robust middleware interface capable of handling high transaction volumes.
  • Delivered multiple rounds of integration testing, including stress tests and end‑to‑end reconciliation exercises.
  • Supported user acceptance testing, operational rollout, and post‑go‑live monitoring.

This hands‑on partnership helped ensure the final product was not only technically sound but operationally aligned with Yamato’s real‑world needs.

Project Duration

  • 5 months

Interview with Project Leader

Mr. Jim H., Vice President of IT, Project Manager of YAMATO TRANSPORT U.S.A., INC.

Why did Yamato Transport U.S.A. choose Calsoft?

“Calsoft was the best fit because of their deep CargoWise expertise and formal certification as a global integration partner. Their track record with previous projects—and their ability to step in after a disappointing experience with another vendor—gave us confidence that they could deliver the results we needed.”

What was the biggest challenge?

“One of the most significant challenges was ensuring that the data flowing into SAP followed our exact accounting rules. Our billing structure is complex, and we could not compromise accuracy. Calsoft’s ability to translate our operational requirements into a working technical solution was critical.”

Benefits and Impact of CargoWise Implementation

The project was a complete success. With the interface deployed:

  • Yamato executed a company‑wide migration of billing operations to CargoWise.
  • The accuracy of accounting data improved, reducing discrepancies and manual correction time.
  • Operational efficiency increased, as automation removed redundant manual input.
  • Governance and compliance strengthened through consistent, rule‑driven data flows.
  • System security and visibility improved, allowing IT and finance teams to track exceptions and resolve issues quickly.

In short, the integration allowed Yamato to fully realize the value of its CargoWise investment, setting a foundation for future automation and expansion.

“We reached out to Calsoft after a less‑than‑ideal experience with another vendor, and it was the best choice we could have made. Calsoft is now one of our most trusted partners.”
